Documents required for GST registration depend on your business type. See the checklist for proprietors, firms and companies, plus file size limits.

Documents Required for GST Registration: Business Checklist

Updated: 20 October 2026

The documents required for GST registration depend on how your business is set up, but most applications need identity proof of the owners, proof of how the business is constituted, proof of the business address, a bank account proof and a photograph. The GST portal lists these under proof of constitution, photographs, authorised signatory and place of business.

Getting this checklist ready before you log in saves time, because the portal accepts only specific file formats and sizes. This guide explains what each document is for, what the official GST portal says about formats, and what a typical proprietor, firm or company should keep ready. Rules and portal limits can change, so confirm on the GST portal before you apply.

Which documents does every GST application need?

The official GST registration document checklist groups uploads into a few headings. Knowing the headings makes it easier to sort your papers before you start the application.

  • Proof of constitution of business: for example a partnership deed, trust deed, certificate of incorporation, registration certificate or any proof that substantiates how the business is constituted. The portal accepts JPG or PDF up to 1 MB.
  • Photographs: a photograph of each stakeholder and of the authorised signatory, in JPG format up to 100 KB.
  • Proof of appointment of the authorised signatory: a letter of authorisation, or a copy of the resolution passed by the board or managing committee along with the acceptance letter, in JPG or PDF up to 100 KB.
  • Proof of principal place of business: one of the options listed in the next section.

What documents are needed for each type of business?

The official checklist does not break the list down by entity type, so the points below combine the official headings with a widely used practical checklist from ClearTax. Treat them as a starting point and let your CA confirm the final list for your case.

  • Sole proprietor: PAN and Aadhaar of the owner, owner's photograph, bank account details and address proof.
  • Partnership firm or LLP: PAN of the partners, the partnership deed (or LLP registration certificate), photographs and address proof of partners, and the authorised signatory's Aadhaar and proof of appointment.
  • Company: company PAN, the incorporation certificate from the Ministry of Corporate Affairs, MoA and AoA, PAN and address proof of directors, photographs, and a board resolution appointing the authorised signatory.

What counts as proof of your business address?

The GST portal lists these options for the principal place of business: a property tax receipt, a municipal khata copy, an electricity bill, a rent or lease agreement, a consent letter, or a document or certificate issued by the government. Most are accepted as JPG or PDF up to 100 KB, while the rent or lease agreement can be up to 1 MB.

If you run from rented premises, the usual practice is to upload the rent agreement together with a recent utility bill. If the space is shared or co-working, the official FAQ says to select the Shared option unless you have a valid, registered sub-let agreement with the space provider. For SEZ units, government-issued documents or certificates are uploaded as the proof.

Can an officer ask for extra documents?

Under Instruction No. 03/2025-GST dated 17 April 2025, as reported by Taxmann, officers may ask only for documents specified in Form GST REG-01 and should seek clarification through Form GST REG-03. Applications that are not flagged as risky are to be approved within 7 working days, and flagged applications need physical verification within 30 days.

If you get a clarification notice, reply in Form GST REG-04 within the 7 working days mentioned in the instruction. Keep clear scans ready so you can respond quickly.

How can you avoid rejection or delay?

Most delays come from unclear scans, mismatched names and address proofs that do not match the address typed in the form. A few habits help.

  • Compress scans to the portal limits before uploading, and use JPG for photographs.
  • Make sure the name and address on your proofs match the application exactly.
  • Keep the authorised signatory's appointment letter or board resolution ready from the start.
  • Check the GST portal's registration pages for the latest checklist before applying.

Sort your documents into the portal's headings first: constitution, photographs, authorised signatory and business address. With clean scans within the size limits, the application is usually much smoother. Always confirm the current checklist on the GST portal, and ask your CA if your business type is unusual.
